Welcome to our fees policy page, where we provide you with detailed information on the fees associated with our software services. Please take a moment to review the following list of services that are subject to usage fees. These fees will be deducted from your account credit automatically and instantly each time you use them (this includes any use case triggered by any automation workflow you have active on your account).

This Fees & Inclusions Disclaimer ("Fees Disclaimer") is part of our Terms of Service ("Legal Terms") and should therefore be read alongside our main Legal Terms: Terms & Conditions. If you do not agree with these Legal Terms, please refrain from using our Services. Your continued use of our Services implies acceptance of these Legal Terms.

We reserve the right, in our sole discretion, to make changes or modifications to our fees from time to time. We will alert you about any changes by updating the "Last updated" date of these Fees and Inclusions, and you waive any right to receive specific notice of each such change.

Account Setup

Account setup is not included; however, you will be provided with an easy-to-follow step-by-step guide on how to properly set up your account with all the critical functions like the phone system, email, integrations, and your business settings. Account Credits and Auto-Recharges

Your account has an ‘account credit’ feature that is used to pay for things like emails, contact validations, SMS messages, phone usage, AI-generated content, etc. (accessible by you via the ‘company billing’ section inside your account by going to 'Settings' > 'Company Billing'). Each month, your account credit may be topped up with additional complimentary credits provided by us (subject to your subscription inclusions).

When your ‘account credit’ balance reaches zero (or the minimum set amount set by you), it will automatically be topped up with an additional amount set by you starting from as little as USD $10 (you have the option to adjust this amount at any time). This is also referred to as the ‘auto-recharge’ feature, and you may choose to increase this amount to avoid issues with any campaigns you may be running (for example, you may have an automated workflow that has SMS messages programmed around a specific promotion). Auto-recharge payments are charged separately from the monthly software subscription and may occur at higher frequencies (subject to how many outbound/received call minutes you incur, and/or how many text messages you send/receive, and/or how many emails you sent, and/or how many words you generate using the inbuilt AI Content generator).

It's important to also note that the usage includes any text messages or emails sent in bulk and/or via pre-programmed automation workflows you have active on the account. If you have any 'Premium automation workflow actions and/or AI Actions configured, those are also subject to a fee. If you have Conversation AI enabled on your active account and there are messages generated by the AI, those are also subject to a fee. If you generated any text or images using the built-in Content AI feature, those are also subject to a fee. Full details on each further down on this page.

Included Account Credit

Depending on your subscription with us at the time of sign-up, you may receive monthly complimentary credits.

For instance, if your plan includes $10 in credits each month, here's what that amount would cover if you were to spend it all on an individual action:

No Refunds Policy

Please note that we do not provide any refunds for unused account credits when you cancel your subscription with us, and we do not provide pro-rata refunds for unused subscriptions when you cancel between billing cycles. Monthly credits do not rollover each month.

Services and Fees

Here's a full list of services subject to usage fees that are deducted from your account credit:

  • Monthly fee for Each Mobile / Toll-Free / Local number: A monthly fee is applicable for each number you purchase.

  • 1-minute call: Usage fees are charged for both inbound and outbound calls, calculated per minute.

  • SMS messages: Fees are applied for each SMS message sent and/or received, calculated per each 160-character segment.

  • A2P 10DLC Brand registration fee: This is a one-time fee for registering your brand under the A2P 10DLC program.

  • A2P 10DLC campaign fee: The amount of this fee depends on the type of use case for your A2P 10DLC campaign.

  • A2P 10DLC Campaign verification fee: This is a one-time fee for verifying your A2P 10DLC campaign.

  • Call recordings: Fees are applicable for accessing and using call recording services.

  • Phone number validations: Fees are charged for validating phone numbers.

  • Answering machine detection: Fees apply for utilizing answering machine detection services.

  • Carrier fees: Charges may be incurred for carrier-related services.

  • MMS: Fees are applicable for sending and receiving multimedia messages.

  • Emails: Each email sent incurs a fee.

  • Email address validation: Fees are charged for validating email addresses.

  • Premium Workflow Triggers & Actions: Fees are applicable for utilizing premium workflow triggers and actions.

  • AI Image generation: Charges are incurred for generating AI images.

  • Workflow AI Action (ChatGPT): Fees apply for using the Workflow AI Action feature.

  • Conversation AI: Usage fees are charged for utilizing Conversation AI services.

  • WhatsApp Conversation: Fees are applied for each WhatsApp message sent and/or received.

  • Reviews AI: Fees are applied for each AI generated review response.

Phone Number Validation - Carrier Lookup - Fees

By activating the phone number validation feature, CoLevel can now check phone numbers during SMS sending. This ensures that only valid mobile numbers receive messages. CoLevel utilizes Twilio Lookup, a service that charges per lookup, to verify if a number is a landline. If it is not a valid number, CoLevel will refrain from sending any messages to that number. This feature helps maintain the quality and efficiency of your SMS campaigns by ensuring that messages are only sent to valid mobile numbers.

NOTE: The validation is done at the time of SMS sending, not during Contact Record creation or importing.

All number validations, irrespective of the country, are charged at $0.005/validation.

Phone Number Fees

Phone number fees apply per each additional number you buy and depending on the type of number you choose. These are charged by our 3rd party provider, Twilio. Phone Number Pricing

Phone & SMS Services and A2P10DLC Requirement for USA Customers

A2P (Application to Person) 10DLC (10-digit long code) is the standard that United States telecom carriers have put in place to ensure that SMS traffic to US end-users through long code phone numbers is verified and consensual. This is an industry-wide change to improve the Campaign Vetting process with the goal of reducing spam, fraud, and unwanted messaging, and protecting SMS as a trusted communications channel in the U.S. Every messaging provider who services A2P Campaigns is required to conduct this vetting. If you operate a business in the USA and wish to use the phone system, there is an A2P 10DLC registration requirement. Please note the following additional fees will apply per each phone number you purchase via our system:

CoLevel is integrated with a 3rd party provider called 'LC Email', which acts as an email service provider hosted by CoLevel. LC Email offers incredible deliverability, error monitoring, and better compliance, and is much cheaper compared to other email service providers on the market. With this integration, sending & receiving emails works right out of the box with excellent deliverability. LC Email's email validation service, powered by its email sending cache, provides some of the most accurate validation results on the market.

Premium Workflow Actions and Triggers

Premium actions and triggers unlock advanced capabilities such as connecting workflows to external systems or software without using expensive third-party automation tools like Zapier, Integromat, or PabblyConnect. With Premium Triggers & Actions, you can integrate systems like Slack and Google Sheets into a workflow and catch inbound webhook actions (Post requests) within the same process.

Workflow AI is a revolutionary workflow action that harnesses the power of artificial intelligence to enhance your business automation strategies. It integrates seamlessly with your CRM, responding intelligently to various triggers and actions to streamline your workflows. AI Text Content Generation

Content AI is charged with a usage-based pricing per word usage. The first 500 words are FREE.

Price Charged (based on usage) = Prompt Content + Variation Output.

Each word in the prompt and variation can be long or short, with a 4-12 character base. Some words may have sub-words or trailing spaces or be uppercase/lowercase. Thus, pricing can vary for 10 words input with large words and sub-words compared to 6 words input with smaller characters.

Image Generation using Content AI is an innovative feature that creates unique images based on user-provided descriptions. It's a crucial part of the Social Planner platform, where it assists users in making their social media posts more engaging and visually appealing. Image Generation via AI is available in Social Planner, Blog, Website, Funnels, Media Library, and Email Builder.

Use cases:

  • Generate images for social media posts directly in the Social Media planner.

  • Create images using AI for your email newsletters directly in the email newsletter editor.

  • Generate AI images directly in the funnel builder, website builder, and the media library!

Contact List Preparation & Import Service

Please note that we can assist with preparing your contact list for import to the CRM. We can help with tasks like consolidating and merging contacts, formatting date and phone fields, validating email addresses, creating custom fields, importing the list, and recreating previous opportunities. Additional fees apply for these services. Alternatively, you can follow our guide by clicking here to complete this process independently.

We charge a fee for list import preparation, which includes consolidating any spreadsheet files you provide, formatting data, validating contact records, creating custom fields in the CRM, testing the import using a small sample, importing the full list into your CoLevel account, and finally, recreating any opportunities you had associated with the contacts already into a new pipeline. The fee is $0.50 per each contact record (in USD).

This service includes:

  • Consolidating multiple spreadsheet files into one:
    Many customers have data from various sources (e.g., CRM exports and other software tools). Once you provide CSV or XLS files, we will combine all this data into a single spreadsheet and merge contacts with the same first and last name, as well as matching email and/or phone number, into one row. If they don't have matching email and/or phone number, we will not merge them.

  • Formatting the data:
    So it can be imported and used in CoLevel.

  • Validating contact records:
    We will check the email addresses in your list for improper formatting, known spam traps, free and disposable emails, invalid MX records, invalid domains, and role-based email addresses. Our goal is to provide you with a cleaner contact list for better email deliverability.

  • Creating unique custom fields:
    For instance, if you have unique information about your contacts that is specific to your business niche, we will create custom fields for you. This will ensure that this information is properly imported when you import your contact list.

  • Recreation of Opportunities:
    If you have any existing deals with your contacts, we will also recreate those for you.

  • Testing the import process using a small sample from your list.

  • Importing the full list into your account in CoLevel.

Terms of CRM Contact List Preparation & Import Service:

  • Our pricing is determined by the number of rows in your spreadsheet(s).

  • We will only merge contacts that have matching first and last names, as well as matching email and/or phone numbers. Contacts with the same name but different contact information will not be merged, resulting in multiple contact records.

  • To proceed, you'll need to provide us with CSV, XLS, or Shared Google Sheet files.

  • We will count the total rows (contact records) in these files to calculate the amount you need to pay.

  • The fee is $0.50 per each contact record (in USD).

  • A 50% deposit is required before we begin, with the remaining payment due upon completion.

  • If additional files or requests are made after we start, a separate quote will be provided for the extra work.
